How do I book the audio room?

The ITRC’s audio room can be booked via the WTS Service Desk using the Audio Room Booking Request form [https://westernu.atlassian.net/servicedesk/customer/portal/1065/create/2319]. A member of our team will reach out to confirm your booking. Bookings are accepted based on availability, and we require a minimum of 48 hours advance notice.  

I am a Western student looking to book your audio room. Is this possible?

At this time, the ITRC’s audio room can only be booked by instructors. However, instructors can sponsor their students in booking the audio room if the content being created is for their course. If you are a student interested in using our audio room for your course work, please reach out to your instructor.  

Is it possible to book your main studio space?

The main studio space can be booked by those engaged in an ITRC Project. Recording in the studio requires dedicated staff to operate the equipment, therefore we require additional planning. If you are interested in using our studio, please complete the ITRC Project Request form [https://westernu.atlassian.net/servicedesk/customer/portal/1065/create/2312]. 

What happens when I submit a project request?

When you submit a project request, a member of our team will reach out and schedule a meeting with you to further discuss your project’s needs. After this intake meeting, our team will discuss whether we can support your project. Projects are accepted based on their alignment with our mandate and on our current capacity. If your project is accepted, our team will assign a project manager who will then work with you to draft a project agreement. 

Why do I need to sign a project agreement?

Our project agreement is an outline of the scope and deadlines of the project, and it is made collaboratively by you and your project manager. By signing it, we are ensuring we have clear expectations across the team, and we are holding ourselves accountable to the goals of the project.  

Can the ITRC license copyright materials for me?

No, the ITRC does not provide any service around copyright licensing. If you need specific copyrighted media, you must obtain clearance from the copyright holders. Copyright @ Western [https://copyright.uwo.ca/] is a great resource for learning more about copyright and how to reach out to the owners of the media you would like to use. 

What are some responsibilities will you have as the client?

  1. Content Research and Script Development: You are responsible for providing all necessary content, including video scripts and visual aids. We rely on you for subject matter expertise.  
  2. Performance and Narration Work: We do not provide actors or narrators. You will need to find and coordinate performers for any necessary voiceover material.  
  3. Hosting and Maintenance: We do not offer long-term hosting for finished projects. You will want to consider where your finished project is going to live and whether there are product licenses you will need to acquire to support the project long term. If you require additional edits past your project’s closure date and you need the ITRC’s help to do them, you will need to open a new, separate project with us.
  4. Alt Text Creation: If you are providing images for use in a project, you must provide descriptive alt text for those images. This is an important step in designing accessible media material for all learners. 

How long will the ITRC hold onto my project work?

The ITRC keeps a data retention period of one year from the project closure date. During this period, we will keep backups of all working files for your project. After this time, they will be removed from our systems. We send a closure agreement at the end of every project, so you will have a clear record of when your project closed. 

How can I join your team?

We love welcoming new people to our team! Here is what we are looking for in a Digital Media Designer: 

  • Currently enrolled full-time in an undergraduate program at Western; 
  • Experienced in media creation, including video production, graphic design, motion graphic design, audio production, interactive module design 
  • Able to work well in a team, especially on creative projects 
  • Clear problem-solving skills 
  • Excellent communication skills 
  • Able to work efficiently and accurately under pressure
